Asana is a web and mobile work management platform designed to help teams organize, track, and manage their work. With zenphi, you can superpower your Asana workflow by automating Tasks, Projects, Teams, Users, and more.
1. Creating an Asana connection
To integrate zenphi with Asana you need to establish the Connection. It'll take you a few clicks.
Open Settings, find Asana, and press Connect.
Proceed to the confirmation page:
All done! Now, when you connect any Asana actions, you can choose the created Connection from the dropdown menu.
2. Automating Asana Tasks
2.1 Create Task
To create an Asana Task you need to fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu;
Assign to a User - zenphi will display all the Users linked to the chosen Asana Workspace in the dropdown menu - you can choose from there, type in the email of the user, or use the Token Picker;
Project - zenphi will display all the Projects linked to the chosen Asana Workspace in the dropdown menu;
Name - type in the Name of the Task or use the Token Picker;
Optional Fields - zenphi will display all the Fields linked to the chosen Asana Project in the dropdown menu. For example:
Completed - choose Yes or No
Description - type in the text or use the Token Picker
Due On - choose a date from the calendar or use the Token Picker
Start On - choose a date from the calendar or use the Token Picker
Custom Fields - zenphi will display all the Custom Fields linked to the chosen Asana Project in the dropdown menu
2.2. Delete Task
Zenphi allows you to automatically Delete a Task - all you need to do is to choose the Asana account from the dropdown menu and fill in the Task name. You can either choose a Task from the drop-down menu or use a Token Picker.
2.3. Get Task Information
Zenphi allows you to automatically Get Task Information by the Task Name.
To get Task Info you need to fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Project - zenphi will display all the Projects linked to the chosen Asana account in the dropdown menu;
Task - Fill in the Task Name, choose the Task from the dropdown menu or use the Token Picker.
The Output of this action will be the following values:
You can use this data further in your Flow, for example, send via email or export to Google Sheets.
2.4. Update Task
With this action, you can easily update the values inside your Task.
To update a Task you need to fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu;
Project - zenphi will display all the Projects linked to the chosen Asana Workspace in the dropdown menu;
Task - Fill in the Task name, choose the Task from the dropdown menu or use the Token Picker.
Select Fields for update - zenphi will display all the Fields linked to the chosen Asana Task in the dropdown menu. Click on the Fields you want to update, and then fill in the new value for all of them. For example:
Completed - choose Yes or No
Description - type in the text or use the Token Picker
Due On - choose a date from the calendar or use the Token Picker
Start On - choose a date from the calendar or use the Token Picker
Custom Fields - use the same logic as for the previous Select Fields for update
2.5. Create, Delete, and Update Custom Fields
Sometimes it can be useful to manage Custom Fields of Asana Tasks automatically. That's where Custom Fields action may come in handy. With zenphi you can:
Create Custom Field
The fields to fill in here:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu;
Fields Title - type in the new name for your Custom Fields or use the Token Picker;
Fields Type - your Custom Fields can be in the Text, Date, or People (Asana Users) format.
Delete Custom Fields
The fields to fill in here:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu;
Custom Field - choose from the dropdown menu or use the Token Picker.
Update Custom Fields
The fields to fill in here:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu;
Custom Fields - choose from the dropdown menu or use the Token Picker;
Select Fields for Update - you can update the Title and the Description of the Field. Fill in the value for the Fields selected by typing them in or using a Token Picker.
2.6. Add a Comment
Automatically add comments to selected Asana Tasks with this zenphi action:
The fields to fill in here:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu;
Project - zenphi will display all the Projects linked to the chosen Asana Workspace in the dropdown menu;
Task - Fill in the Task ID, choose the Task from the dropdown menu or use the Token Picker;
Text - type in the comment itself or use the Token Picker;
Pin to the top - indicate if you want to pin the comment by choosing Yes or No from the dropdown menu.
3. Automating Asana Projects
3.1 Create Project
To automatically create the Asana Project fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu;
Team - zenphi will display all the Teams linked to the selected Asana Workspace in the dropdown menu;
Name - type in the Name of the Project or use the Token Picker;
Optional Fields - zenphi will display all the Fields linked to the chosen Asana Team in the dropdown menu. For example:
Archived - choose Yes or No;
Public - choose Yes or No;
Notes - type in the text or use the Token Picker;
Due On - choose a date from the calendar or use the Token Picker;
Start On - choose a date from the calendar or use the Token Picker;
Custom Fields - zenphi will display all the Custom Fields linked to the chosen Asana Team in the dropdown menu
3.2. Delete Project
To automatically delete the Asana Project fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Projects - zenphi will display all the Projects linked to the chosen Asana account in the dropdown menu - select from the list, type in the Project ID, or use the Token Picker.
3.3. Get Projects
With this action, you can Get all the Projects you have in your Asana account.
To automatically get the Asana Projects to fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Get - you can get all the Projects you have in account; Projects related to a chosen Team, or Projects from a chosen Workspace.
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu;
Team - zenphi will display all the Teams linked to the selected Asana Workspace in the dropdown menu.
The Output of this action will be Project ID(s) and Project Name(s). You can use this data further in your Flow.
3.4. Get Project Information
To automatically get the Asana Projects to fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Projects - zenphi will display all the Projects linked to the chosen Asana account in the dropdown menu - select from the list, type in the Project ID, or use the Token Picker.
The Output of this action will be the following values:
You can use this data further in your Flow, for example, send via email or export to Google Sheets.
3.5. Update Projects
The Update Projects action lets you change the values of your Projects.
To update a Project you need to fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu;
Projects - zenphi will display all the Projects linked to the chosen Asana account in the dropdown menu - select from the list, type in the Project ID, or use the Token Picker.
Select Fields for update - zenphi will display all the Fields linked to the chosen Asana Project in the dropdown menu. Click on the Fields you want to update, and then fill in the new value for all of them. For example:
Archived - choose Yes or No;
Public - choose Yes or No;
Notes - type in the text or use the Token Picker;
Due On - choose a date from the calendar or use the Token Picker;
Start On - choose a date from the calendar or use the Token Picker;
Custom Fields - use the same logic as for the previous Select Fields for update
4. Automating Asana Teams
4.1. Create Team
To automatically create the Asana Team fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Organization - zenphi will display all the Organizations linked to your Asana account in the dropdown menu;
Team name - type in the Name of the Team or use the Token Picker;
Description - type in the Description for the Team or use the Token Picker;
Team Privacy Types - choose one of the options from the dropdown menu
4.2. Get Teams
With this action, you can get all the Asana Teams you have in your Asana account.
Fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu; select from the list or use a Token Picker.
In the Output of this action, you'll get the Collection of Items that you can further use in the Flow.
4.3. Get Team Information
This action lets you automatically get all the information about a specific Team in your Asana Workspace.
Fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu;
Team - zenphi will display all the Team linked to your Asana Workspace in the dropdown menu; select from the list, type in the Team Name or use the Token Picker.
The Output of this action will be the following values:
You can use this data further in your Flow, for example, send via email or export to Google Sheets.
4.4. Update Teams
To update a Team you need to fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu;
Team - zenphi will display all the Team linked to your Asana Workspace in the dropdown menu; select from the list, type in the Team Name or use the Token Picker.
Select Fields for update - zenphi will display all the Fields linked to the chosen Asana Team in the dropdown menu. Click on the Fields you want to update, and then fill in the new value for all of them. For example:
Team Name - type in the text or use the Token Picker;
Description - type in the text or use the Token Picker;
Team Privacy Types - choose from the dropdown menu.
5. Automating Asana Users
5.1. Get User Information
Zenphi allows you to automatically Get all the information about a specific Asana User.
To get User Info you need to fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
User - zenphi will display all the Users from the chosen Asana account in the dropdown menu;
The Output of this action will be the following values:
You can use this data further in your Flow, for example, send via email or export to Google Sheets.
5.2. Get Users
To get Users you need to fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Get - you can get all the Users you have; Users related to a chosen Workspace or Users from a chosen Team.
The Output of this action will be the Collection of the following values. You can use this data further in your Flow.
6. Automating Asana Workspaces
6.1 Get Workspaces
To get all of the Workspaces connected to your Asana account you only need to establish an Asana Connection. The Output of this action will be the Collection of values that you can use further in the Flow.
6.2 Get Workspace Information
When you want to extract information about a specific Workspace, use the Get Workspace Information action. The Output of this action will be the values like Workspace ID, name, type, domain, etc. You can use them further in the Flow.
6.3. Update Workspace
To update a Workspace you need to fill in the following fields:
Connection - choose your Asana account from the dropdown menu;
Workspace - zenphi will display all the Workspaces linked to your Asana account in the dropdown menu; select from the list or use the Token Picker;
Workspace Name - type in the new name for your Workspace or use the Token Picker.
